Personnel Selection Personal Data Processing

AIDA Srl, Headquarters: Viale Alexandre Gustave Eiffel, 100 Commercity – N28 – 00148 Roma (ITALY), VAT n. 00883031007 (hereafter referred to as “the Controller”), acting as Controller, informs you that, according to art.13 of the D.Lgs. 30/06/2003 n. 196 (hereafter referred to as the “Privacy Code”) and art. 13 of the EU Regulation n. 2016/679 (hereafter referred to as “GDPR”) your data will be processed with the following modalities and for the following purposes:

AIDA Srl, Headquarters: Via  Achille Grandi, 15-20096 Pioltello-Milano (ITALY), VAT n. 03795810963 (hereafter referred to as “the Controller”), acting as Controller, informs you that, according to art.13 of the D.Lgs. 30/06/2003 n. 196 (hereafter referred to as the “Privacy Code”) and art. 13 of the EU Regulation n. 2016/679 (hereafter referred to as “GDPR”) your data will be processed with the following modalities and for the following purposes:

1. Data processed
The Controller processes personal, identifiable data (e.g. name, surname, address, telephone number, email, bank and payment data) – hereafter mentioned as “personal data” or “data”) that you provide when undergoing a selection process by the Controller.

2. Purpose of the processing
Personal and fiscal data will be treated with the sole purpose of carrying out the personnel selection process when the Controller decides to acquire new staff.

3. Processing modality
Your personal data are treated with manual and electronic tools in compliance with the principles of necessity and relevancy, adopting appropriate safety measures in relation to the purpose of managing the selection process.

4. Access – Communication
The above said purposes are the only ones by which your data will be accessed by our managerial staff and possibly third parties such as human resource selection companies, workplace psychologists, examiners, that will be in charge of carrying out the selection and interviewing process. Your personal data will never be further disclosed without your explicit consent.

5. Data storage
When the selection process is over, and in any case after 12 months from the acquisition of the Curriculum Vitae, you data will be cancelled and all processing will stop without further notice.

6. Data transfer
Personal data are stored on servers based within the European Union. No transfer is foreseen towards countries outside the EU.

7. Data provision and consequences of provision refusal
The provision of personal data is a legal and contractual obligation, and a necessary prerequisite for contract signature. The interested subjects musttherefore provide their personal data. The refusal to provide data prevents the setup of a collaboration or employment relationship.

8. Rights of the subject
According to the EU Regulation, the interested subjects have the right to ask the Controller for access to personal data (art. 15) in order to view directly any data regarding themselves.
The rights can be availed by a specific form, to be requested to AIDA Srl.
Furthermore, the interested subjects have the right to:

  • make a complaint to the supervisory Authority concerned (art. 77 of the Regulation) if they perceive that the data processing carried out by the Controller is not compliant;
  • rectification (art. 16);
  • cancellation of data or “right to be forgotten” (art. 17);
  • restriction of processing of personal data (art. 18)
  • data portability (art. 20) or objection to processing (art. 21)
9. Modalities for the exercise of rights by the data subject
The data subject can at any moment exercise his/her rights by means of:

10. Lawfulness of processing
In compliance with art. 6 of the Regulation, processing is lawful in that it is necessary for the performance of a contract to which the data subject is party and in order to take steps at the request of the data subject prior to entering into a contract.
The Controller will process data lawfully, fairly and in a transparent manner, in compliance with the principles established in the General Data Protection Regulation, ensuring personal data protection and the fundamentl rights and freedom.
In case the data subject is less than 16 years old, processing is lawful only if and to the extent that consent is given or authorised by the holder of parental responsibility over the child, for whom personal data and identification documents are acquired.
Personal data stored by AIDA Srl are collected directly from the data subject and their provision is necessary for the personnel selection process, that could not otherwise be carried out.
